BOOKING CONDITIONS The following Booking Conditions together with the information contained in our Brochure, Website, Tour Details and Itinerary form the basis of your contract with us. Please read them carefully as they apply to all bookings you make with us and set out our respective rights and obligations. In these conditions ‘we’ and ‘ourselves’ means Railtrail Tours Limited; ‘you’ means the person making the booking to travel on a Tour, and includes any person travelling with or in the care of you or for whom you make any booking arrangements with the Company. ‘Hotel’ includes any accommodation provided or offered to you. 1. CONSUMER PROTECTION In accordance with the provisions of the Package Travel And Linked Travel Arrangements Regulations 2018, your tour monies are held in a specially designated trust account at Lloyds Bank, Fountain Square, Hanley, Stoke on Trent, ST1 1LE until completion of the holiday. In the unlikely event of our insolvency the Trustee will refund all monies paid by yourselves from that account. If you have booked your Railtrail holiday via an authorised travel agent all monies are held by that agent until paid to us or refunded to you. In the unlikely event of the travel agent’s insolvency we will honour any monies paid by you to the travel agent for your Railtrail tour in good faith prior to their insolvency, even if they were not subsequently transferred to Railtrail Tours Ltd. All rail tickets issued by Railtrail Tours Ltd are guaranteed good for travel by the Rail Settlement Plan Ltd. 2. MOBILITY, BOOKING, PAYMENTS & INSURANCE Mobility It is essential that any medical condition or disability is declared so that we can assess your suitability for travelling on the tour and your subsequent enjoyment. Booking A booking can be made either online via our e-booking portal, by telephone, or in person at our office. The first named person listed on the Booking accepts responsibility for each person detailed on the booking in relation to their reading, accepting and being bound to the booking terms and conditions of Railtrail Tours Ltd. The first named person on the Booking also accepts the financial responsibility for payment of the booking for all named passengers on the Booking. He/she also accepts responsibility for distributing all tickets and documentation relating to the booking to all persons named on the Booking. An Additional Information Form is also to be completed in full as part of the booking process. If your booking is made either online via our website, or by telephone, the Additional Information Form will be sent to you for completion, signing, and return within 14 days of your Booking. It is part of the booking terms and conditions that all disability or mobility restrictions relating to any person named on the booking must be declared on the Additional Information Form. Should any disability declared at that time warrant our cancelling of your Booking we will refund any monies paid. Payments At time of booking a deposit is payable per person: £75 for UK tours and £150 for ALL Grand Tours By Rail and European tours. Deposits are NON REFUNDABLE. The balance of fare is due for payment 9 weeks before departure date for UK Tours and 13 weeks before departure date for ALL Grand Tours By Rail and European tours; for bookings made less than these number of weeks before departure the full amount is due at time of booking. Our preferred means of payment is cheque, debit card, credit card, or BACS transfer. If your fare includes a Railcard discount it is your responsibility to carry your valid Railcard(s) on tour and each day train travel is featured. Loyalty points discounts and donation offers apply to new bookings on UK & European Railtrail operated tours only; they cannot be applied retrospectively. Insurance For European tours it is a condition of booking that you are adequately insured and it is a condition of travel that before departure you provide to us details of your insurance arrangements (insurers name, your policy number and the emergency contact number stated on your policy). For UK holidays this travel insurance requirement is not mandatory for UK nationals but we do recommend that you are similarly insured; insurance is mandatory for NON-UK nationals and it is a condition that you provide details to us as above. We request that you provide to us details of ‘next of kin’. In Case of Emergency contact information, for each passenger in your party. For European tours a full ten year passport is required, and many countries stipulate that it is valid for at least 6 months beyond your return date; it is your responsibility to carry a valid passport on tour.

BOOKING INFORMATION YOUR MOBILITY & TOUR SUITABILITY Due to the nature of our holidays, it is important that you have a reasonable level of fitness; some walking is involved. If you are infirm or disabled in any way it is essential that you contact us before booking to enable us to advise suitability of your chosen tour. This request is made in good faith and your own interest, as we would not wish you to book on a tour where limited mobility would affect your enjoyment of the holiday. THE TOUR FARE What is included in the Tour Fare? All rail travel throughout the holiday as described (unless booking at the Tour Base fare). Air travel if applicable. Connecting road travel from station to hotel (where necessary). Accommodation and meals as detailed in the tour itinerary ( B =Breakfast, L =Light Lunch, T =Afternoon Tea or Sandwiches, D =Evening meal, E =Eurostar light  meal) All excursions and admissions to attractions, unless otherwise stated as optional in the tour itinerary. Services of an experienced Tour Manager. VAT and local taxes where applicable. For clients wishing to travel independently to and from the tour base for UK tours we offer a Tour Base fare as shown in the tour Fares Table. If wishing to travel independently to a European tour base, please contact us for a tour fare quote. TOUR JOINING, TRAVEL ARRANGEMENTS & ITINERARIES In the case of UK tour and journeys linking your home station to the tour base, tour itineraries are individually tailored to leisure travel fares and any applicable route restrictions. Reserved seats are included where the facility is provided. Detailed travel timings are shown in your Joining Arrangements and Tour Itinerary. This is sent to you with your travel tickets approximately 7-10 days before your tour departure date. European tour itineraries include details of the Railtrail Tours meeting point at London St. Pancras International. RAILTRAIL REWARDS LOYALTY For every £1 you spend in Tour Fare, you will be credited with one loyalty point on your return from holiday with a value of 1p. Your loyalty points may then be used towards your next Railtrail tour. If you introduce a friend or relative who is new to Railtrail Tours, ask them to quote your name and postcode at the time of booking and, once they have completed their holiday you will receive additional Railtrail Loyalty Points credited to your account to the value of £25 per person booked if it was a UK tour or Railtrail Loyalty Points to the value of £50 per person booked if they travelled on a European tour or a Grand Tour By Rail. BROCHURES We produce a number of different brochures and the latest version of each can be viewed on our website in the e-brochure section located on the top menu bar of our Home Page.
